Position Summary:

The Divisional Assistant acts as a coordinator and mediator for Division projects. Compiles, processes, disseminates and maintains merchandising information for the Merchandising & Planning Division.


Essential Functions/Responsibilities:

Essential Functions

  • Accomplishes operations/organizational objectives by establishing standards and procedures; answering phones, ordering supplies, delivering reports and various other duties, such as, schedule meetings; report and maintain records of time adjustment for the department on a weekly basis.
  • Monitors daily sales for division.  Processes and updates TY/LY recaps.
  • Coordinates and compiles Division projects, reports and recaps under the supervision of the DMM including Volume Reports, resource books, Advertising co-op, Event recaps, etc.
  • Prepares and provides management reports for GMM, DMM and management as requested.
  • Updates MMI tracking list on a weekly basis, adding new SKU‘s where necessary.
  • Prepares excel spreadsheets for new report formats as required.
  • Creates and assures standard formats are used for forms and reports within the Division and throughout the office.
  • Processes, coordinates and updates advertising coop records, and attends circular meetings and all ad meetings.
  • Coordinates and executes time and action calendars for core meetings.
  • Schedules all division travel and completes expense reports.
  • Completes a variety of other tasks as business need requires.

 


Requirements/Qualifications:

Position Requirements:

  • Excellent computer skills, including Outlook, MS Word, Excel, Access, and PowerPoint.
  • Manages time effectively. Uses work plans to prioritize competing and interdependent tasks and meet deadlines.
  • Excellent organizational skills.  Ability to multi-task and keeps file and work area organized. 
  • Plans work.  Sets goals and outlines tasks to achieve them.
  • Posesses strong communication skills.
  • Bachelor Degree or Equivalent work experience.
